Create and manage different appointment types with individual durations in FlowCaptain.

Services

Services let you define different appointment types that your customers can book. Each service has its own duration, which overrides the calendar's default appointment duration.

You can find the settings under Calendar → Services.

Creating a Service

Click Add Service and fill in the fields:

FieldDescription
NameName of the service (e.g. "Initial Consultation", "Follow-up", "Inspection"). Must be unique per calendar.
DescriptionOptional description for your own reference.
DurationAppointment duration in minutes (1–480 min). Overrides the calendar's default duration.
TypeIn-house — Customer is present for the entire appointment. Drop-off — Customer drops something off and picks it up later (e.g. bicycle workshop).

Drop-off Services

For drop-off services, you can additionally configure:

  • Drop-off timing — When must the customer drop off?
    • Same day — Drop off on the morning of the appointment day
    • Day before — Drop off the day before the appointment
    • Flexible — No fixed requirement
  • Drop-off deadline — Time by which the drop-off must happen (e.g. 11:00 AM)

Default Appointment Duration

When no services are defined — or the caller doesn't mention a specific service — FlowCaptain uses the calendar's default appointment duration. You can adjust this under Calendar → Settings.

How It Works

When a caller wants to book an appointment, FlowCaptain automatically identifies the matching service based on the caller's description. Availability is then calculated based on that service's duration.

Using the Require service selection setting (under Voice Assistant), you can control whether the caller must explicitly choose a service or whether FlowCaptain identifies it automatically.
