Configure language, tone, form of address, and greeting for the FlowCaptain voice assistant.

Conversation Settings

Under Calendar → Voice Assistant, you can customize how the voice assistant speaks with callers. All changes are saved automatically and take effect immediately for new conversations.

Language

Choose the default language of the voice assistant:

  • German — The assistant speaks German with callers.
  • English — The assistant speaks English.

Regardless of this setting, FlowCaptain detects the caller's language and can adapt.

Form of Address (German only)

When German is the default language, choose the form of address:

  • Sie (formal) — Polite address, suitable for medical practices, law firms, or business clients.
  • Du (informal) — Casual address, suitable for workshops, studios, or younger audiences.

Tone

Set the overall tone of the assistant:

  • Friendly — Warm and welcoming.
  • Professional — Factual and business-like.
  • Casual — Relaxed and conversational.

Custom Greeting

Set a custom greeting that the assistant uses at the start of every conversation. Leave empty for the default greeting.

Examples:

  • "Welcome to Dr. Müller's practice! How can I help you?"
  • "Hey, this is the E-Bike Center. What can I do for you?"

Alternative Suggestions

Set how many alternative time slots the assistant should offer when the desired time is not available: 2 or 3 alternatives.

Ask for Appointment Reason

When enabled, the assistant asks the caller for the reason of the appointment (e.g. "What is your appointment about?"). The reason is included in the calendar entry.

Require Service Selection

When enabled, the caller must explicitly choose a service from your catalog. When disabled, FlowCaptain identifies the matching service automatically based on the caller's description.
