Configure your business opening hours, appointment duration, and closed days in FlowCaptain.

Opening Hours

FlowCaptain uses your configured opening hours to determine which time slots are available for appointments. Only times within your opening hours — and not already blocked by existing calendar events — will be offered to callers.

Configuring Your Schedule

In the FlowCaptain dashboard, go to your calendar detail page and find the Opening Hours section. For each day of the week, you can set:

  • Open/Closed — Toggle whether you're available on that day
  • Start time — When your business opens (e.g. 08:00)
  • End time — When your business closes (e.g. 17:00)

Appointment Duration

Set the default appointment duration (e.g. 30 minutes, 60 minutes). This determines:

  • How long each booked time slot is
  • The spacing between alternative time suggestions when the requested slot is taken

How It Works

When a caller asks for availability (e.g. "Do you have anything on Monday?"), FlowCaptain:

  1. Checks your opening hours for that day
  2. Queries Google Calendar for existing events (busy times)
  3. Calculates available slots based on your schedule minus busy times
  4. Returns up to 5 available time slots

Public Holidays

FlowCaptain is aware of German public holidays based on your configured federal state. On holidays, the API returns a message indicating the business is closed, along with the name of the holiday. Different federal states have different holidays — make sure your state is set correctly.

Tips

  • If you have a lunch break, configure two time blocks (e.g. 08:00–12:00 and 13:00–17:00) for that day
  • Alternative time suggestions are spaced apart by your appointment duration for better distribution
  • Changes to opening hours take effect immediately — no restart or redeployment needed
